Privacy Policy

White Harvest LLC, doing business as White Harvest Solutions(“we,” “us,” or “our”), respects your privacy. This policy explains what information we collect, why we collect it, who we share it with, and the choices you have. We are a local service business — we collect what we need to show up, do the work, and get paid. Nothing more.

1. Information We Collect

Information you give us

  • Contact information — first and last name, phone number, email address.
  • Property information — service address, property type, square footage, surface materials, roof type, gate and access details, and other details needed to quote and perform the work.
  • Service details — what you asked for, notes about the project, scheduling preferences, and any special instructions.
  • Payment information — processed by Stripe. Card numbers and bank account numbers are entered directly with Stripe and are never stored on our systems. We retain only the last four digits, card brand, and a payment confirmation token.
  • Communications — texts, emails, voicemails, and form submissions you send us.

Information collected automatically

  • Basic website analytics — pages visited, referring site, approximate region, browser and device type. This is aggregate traffic data, not used to build a profile of you.
  • Job records — photographs of the work area taken before and after service, service dates, and technician notes.

We do notcollect Social Security numbers, driver’s license numbers, biometric data, precise device geolocation, or any special category of sensitive personal information.

2. How We Use Your Information

  • Deliver the service — prepare quotes, schedule visits, route our crew, and perform the work.
  • Communicate with you — appointment confirmations, arrival updates, follow-ups, and answers to your questions.
  • Billing and payment — issue invoices, process payments, and handle refunds or disputes.
  • Service history — keep a record of past work so we can quote accurately and honor warranty commitments.
  • Quality and safety — before-and-after documentation and resolution of any damage claim.
  • Legal and tax obligations — recordkeeping required by law.
  • Limited marketing — occasional service reminders or offers to existing customers, which you can opt out of at any time.

We do not sell your personal information. We do not share it with third parties for their own marketing purposes.

3. SMS and Text Message Privacy

Phone numbers submitted for SMS communications will not be shared with third parties or affiliates for marketing purposes. Opt-in information is not shared with third parties for their own marketing use. SMS data is used solely to send messages related to your service relationship with White Harvest Solutions.

Your mobile number and your SMS consent status are stored in our customer records and used only to send you the messages described in our Terms of Service — appointment confirmations, ETAs, invoices, payment receipts, service updates, and occasional follow-ups.

We use Twilio as our messaging carrier to transmit these messages. Twilio processes the number solely to deliver the message on our behalf and is contractually prohibited from using it for its own marketing. No other third party receives your number in connection with SMS.

Reply STOP at any time to unsubscribe, or HELP for assistance. Opting out of SMS does not remove your number from our customer records — we may still need it to reach you by phone about a scheduled job — but it stops all text messaging.

4. Who We Share Information With

We share information only with service providers who help us run the business, and only to the extent they need it:

  • Stripe — payment processing. Stripe receives your name, email, and payment details directly and handles them under its own privacy policy.
  • ServSmart — the customer management and scheduling platform we use to run jobs, invoices, and customer records.
  • Twilio — SMS and voice message delivery.
  • Email and calendar providers — to send quotes, invoices, and confirmations.
  • Licensed subcontractors — when a job requires licensed trade work, we share only the name, service address, and job scope needed to complete it.
  • Professional advisors — our accountant or attorney, when required.

We may also disclose information where legally required — in response to a valid subpoena, court order, or lawful government request — or to protect our legal rights, prevent fraud, or protect someone’s safety.

If the business is ever sold or reorganized, customer records may transfer to the new owner. We would notify you before your information became subject to a materially different privacy policy.

5. Cookies and Tracking

This site uses minimal cookies. We do not run third-party advertising networks, retargeting pixels, or cross-site tracking on this website. Any cookies present are strictly functional — keeping the site working and measuring aggregate traffic.

We do not respond to browser “Do Not Track” signals, because we do not engage in the cross-site tracking those signals are designed to limit.

6. Your Privacy Rights

Regardless of where you live, you may ask us to:

  • Access — get a copy of the personal information we hold about you.
  • Correct — fix information that is inaccurate or out of date.
  • Delete — remove your information, subject to records we are legally required to keep (see Section 7).
  • Opt out of marketing — stop promotional texts and emails while keeping transactional messages about active jobs.
  • Opt out of SMS — reply STOP, or ask us directly.

To make a request, email kyle@whiteharvestsolutions.com or call 352-932-8385. We will verify your identity — usually by confirming details of a past job — and respond within 45 days. There is no charge for a reasonable request. We will not deny you service, charge you a different price, or provide a lower quality of service because you exercised a privacy right.

Florida residents

Florida law gives residents rights regarding the security of personal information and notification in the event of a breach affecting their data. We comply with the Florida Information Protection Act, including its breach-notification requirements.

California residents

If you are a California resident, the CCPA/CPRA gives you the rights to know, delete, correct, and opt out of the sale or sharing of personal information, and to limit the use of sensitive personal information. We do not sell or share personal information as those terms are defined by the CCPA, and we do not collect sensitive personal information. You may exercise your rights using the contact details above, and you may authorize an agent to act for you.

7. How Long We Keep Information

  • Invoices, payment records, and tax documentation — 7 years, consistent with IRS recordkeeping guidance.
  • Customer and service records — for the duration of the customer relationship and a reasonable period after, so we can honor warranties and quote repeat work accurately.
  • Job photographs — generally 2 years, longer if tied to an open warranty or damage claim.
  • SMS opt-in and opt-out records — retained for as long as required to prove consent and to keep honoring your opt-out. Opt-out records are kept indefinitely so we never text you again by mistake.
  • Quote requests that never became jobs — up to 2 years, then deleted.

8. How We Protect Your Information

  • Customer data is stored in access-controlled systems requiring authentication.
  • Data is encrypted in transit (TLS) and at rest by our platform providers.
  • Payment card data never touches our systems — it goes directly to Stripe, a PCI-DSS Level 1 certified processor.
  • Access is limited to people who need it to do their job.

No system is perfectly secure. We cannot guarantee absolute security, but if a breach affects your personal information we will notify you as required by Florida law.

9. Children’s Privacy

Our services are directed to property owners and authorized decision-makers, and are not directed to anyone under 18. We do not knowingly collect personal information from children. If we learn we have collected information from someone under 18, we will delete it. If you believe a child has provided us information, contact us at the address below.

10. Changes to This Policy

We may update this policy as our business or the law changes. The “Last updated” date at the top reflects the most recent revision. For material changes affecting how we use information you already gave us, we will make reasonable efforts to notify you directly.
